Counsellor code of conduct and confidentiality
Every counsellor agrees to these rules when they apply. They protect the people you support, and they protect you.
Last updated October 2026
1. Put the person first
Work within your qualifications and training. Treat every member with respect, whatever their nationality, religion, gender, caste or job. Listen without judging, preaching or pressuring.
2. Keep everything on Rootarya
Hold sessions, voice notes and messages only on Rootarya. Do not share your phone number, email or social media with members, do not meet them in person, and never take money or gifts from them.
3. Keep what you hear confidential
What a member tells you stays between the two of you. Never record a session or take screenshots. Your session notes are private to you: keep them short and factual. Discuss a member only with the Rootarya team, and only when it is needed to help them.
4. Never involve their employer, university or family
Do not contact a member's employer, university, agent or family about them. Organisations see only bookings and session times, never what was said, and you will never be told which organisation a member belongs to.
5. When someone is at serious risk
You may break confidentiality only when someone's life is at serious risk. Mark the risk flag in your session notes, contact the Rootarya team straight away, and tell the member first whenever you can. Rootarya is not an emergency service: give them the local emergency number.
6. Be reliable
Keep your availability up to date and answer booking requests promptly. Join on time from a quiet, private space. After each session, write your notes and send an action card. Reply to voice notes within your reply time.
7. Look after yourself and be honest
Stay within your workload limits. Tell the Rootarya team if you are overloaded or unwell, or if you know a member personally or have any other conflict of interest.
8. Protect members' information
Use a device with a screen lock, and headphones where you can. Do not copy, download or keep member information outside Rootarya.
9. If the rules are broken
The Rootarya team reviews ratings, feedback and workload. If these rules are broken, we may stop new bookings or end your work with Rootarya. Serious breaches may be reported to your professional body.
